Responsibilities

Responsible for processing payroll for an assigned group of locations comprised of 22k associates in 1,100 locations across 49 states and Puerto Rico with an annual payroll of $1billion. Ensure that employees are paid and financial information is recorded in a timely, accurate and cost effective manner. Provide customer service by researching and resolving payroll inquiries and discrepancies for all North American associates via telephone, ACD line, email and face to face inquiries. Maintain the confidentiality of all company employees, HR and Payroll related records. Specialty to include the responsibility of processing active garnishments, the review and interpretation and execution of new garnishments received from courts, government agencies and attorneys. Or specialty to include filing and remitting of tax withholding payments, unemployment and workers compensation reports for 49 states, 100+ localities and Puerto Rico. Analyze associate tax data to ensure all associates records are recorded with the accurate state and local taxes according to where they live and work. Accountable for timely reporting and processing tax payments in excess of $265 million dollars for various filing and payment frequencies. Accountable for substantial financial risk and assessment to the company for non compliance.

Primary Responsibilities

 

  • Audit payroll reports and use discretion to ensure all payroll transactions are accurate, timely and within compliance
  • Process Termination checks and off-cycle checks for missing hours
  • Troubleshoot and remediate issues and inquires via Payroll mailbox
  • Analyze and execute tax payments to multiple State and Local tax agencies 
  • Remit and prepare tax adjustments and forms to ensure alignment and balancing to quarter and year-end returns
  • Review and interpret court ordered garnishment orders from multiple jurisdictions and various agencies in the US for accurate withholding
  • Administer and execute garnishment orders in the payroll system
  • Research and resolve tax and garnishment issues
  • Review and administer associate tax records for multiple State and Local tax jurisdiction to ensure compliance with regulatory guidelines
  • Collaborate and partner with Attorneys, Clerk of the Courts and Child Support agencies for compliance
  • Collaborate and partner with state and local tax authorities to ensure all inquiries are resolved  
  • Provides customer service on tax and garnishment inquires
  • Manage all required tax agency applications for state and local withholding accounts and unemployment compliance
  • Reconcile daily bank transmission file for accuracy
  • Notify employees and validate accurate direct deposit banking information
  • Administer general payroll processing functions in accordance with the Payroll Specialist job duties
  • Provide guidance and training for associates for all levels of the company
  • Analyze and execute continuous audit reports to ensure compliance
  • Analyze and verify tax file format and specification for compliance with tax agencies
  • Partner with Loss Prevention and check cashing locations on fraudulent checks
  • Execute stop payment on checks and process voids in the payroll system
  • Collaborate with all banks for unidentified cash exceptions 
  • Administer inbound interfaces for JDA and KRONOS timekeeping systems
  • Execute retroactive pay and review reports for pay calculation accuracy
  •  Assess processes and make recommendations for improvement
  • Perform other duties as assigned

Qualifications

  • Associates Degree and 2 years experience in related field require
  • Additional training and education in payroll garnishment and payroll taxation preferred
  • Oracle experience preferred
