Overview

The Payroll Specialist will support the Payroll Manager with all payroll-related tasks. Responsible for processing payroll for an assigned group of locations comprised of 25,000 associates in 1,100 locations across 49 states and Puerto Rico.  Ensure that employees are paid, and financial information is recorded timely and accurately.  Interact with internal Associates (phone or email) and provide customer service by researching and resolving payroll inquiries and discrepancies. Maintain confidentiality of all employees and HR and Payroll related records. Ensure compliance with existing payroll policies and procedures. Help to establish policies that can improve the payroll process.

 Primary Responsibilities:

  • Process daily off-cycle payments for additional hours and immediate Termination payments in a timely manner according to state guidelines
  • Provides customer service to Managers and associates by researching and responding to inquiries via telephone and emails.
  • Responsible for running daily HR audit reports in Oracle HCM to identify and resolve inaccurate HR data that could cause the daily and bi-weekly payrolls sent to ADP to fail.
  • Performs daily ADP Wage Payment reconciliation to Oracle HCM Payment file to ensure accuracy and identify errors. Works with ADP partner and HR Teams to correct issues
  • Generates the process to send Kronos hours each week to Oracle HCM and run reports to help with the reconciliation to Oracle HCM. Audit Kronos/Reflexis/Oracle HCM Payroll report to ensure weekly errors are resolved and prior pay period adjustments are within compliance
  • Responsible for generating and auditing the bi-weekly SOX Continuous Audit reports to identify associates paid at a different rates and excessive hours and prepares weekly reports for Business Partners
  • Identifies issues and creates JIRAs. Works with IT to perform testing and find solutions. Participates in project testing as needed
  • Provides backup coverage to Team members
  • Sorts mail and distributes checks at the corporate office 1 to 2 times per week

 

Education and Experience:

  • Associate's degree or equivalent experience
  • Minimum 1-3 years of experience in related field
  • Payroll processing in a large corporate setting for multiple states
  • Experience with Oracle Cloud HCM and/or payroll systems.
  • Oracle Cloud HCM, Good understand of using Excel
  • Excellent verbal and written communication
  • Ability to work effectively in both a team environment and independently
  • Ability to communicate effectively across all levels of the organization
  • Good Project / Time management skills
  • Good research and analysis skills
  • Excellent attention to detail
  • Organized, ability to prioritize and able to work under strict deadlines
  • Knowledge of payroll time management systems and Oracle Cloud HCM modules.
  • Knowledge and experience in auditing payroll reports and using discretion to ensure all payroll transactions are accurate, timely, and within compliance
  • Must be able to handle sensitive and confidential information in a mature and discrete manner
  • Must be able to protect all forms of highly confidential and proprietary business information and ability to maintain the highest standards of privacy and security
  • Good customer service skills
