Overview

The Specialist, HR Compliance and Audit will play an important role in supporting Office Depot’s HRIS technology platforms as well as ensuring that Office Depot remains in compliance with various federal, state, county, and municipal employment regulations.

The Specialist, HR Compliance and Audit will manage I-9 Compliance, E-verify, and background check activities. Audit and process various types of transactions into Oracle Fusion (mycloud) and other systems. Process corrections to existing data and accountable for data integrity. Analyzing existing HR compliance and audit programs and processes and identifying opportunity for innovation and/or enhancement. Work with internal customers to work towards meeting critical business needs, which includes, but is not limited to writing documentation, communicating with systems user community, and creating reporting. Oracle Fusion HR (mycloud) SuperUser. Responsible for handling highly sensitive and confidential information and inputting data into Office Depot’s HR system of record. Champion the self-service philosophy by redirecting certain data input requests (status change forms) and training managers to utilize Manager self-service to key transactions themself through Oracle Fusion HR.Additionally, the HR Compliance and Audit Specialist will handle highly confidential HR information daily.

Primary Responsibilities:

1. Responsible for I-9, State/Municipal and Work Opportunity Tax Credit (WOTC) auditing and documentation of integrity of security access to Equifax Compliance Center. Acts as an internal consultant to business areas on SOX compliance narratives regarding employee set-up. Represents HRIS during Immigration and Custom Enforcement (ICE) audits. Analyze monthly activities to generate state form compliance, I-9 and WOTC monthly reporting. Create and facilitate monthly enterprise I-9 training sessions.

2. Responsible for company-wide background activities including but not limited to managing the backgrounds mailbox, matrix, escalations, decisionals, and vetting process. Partner closely with legal, vendor, and business owners. Assist and work on daily & weekly audits and vendor related reports.

3. Responsible for analyzing existing HR compliance and audit processes and identifying opportunity for innovation and/or enhancement. Work with internal customers to work towards meeting critical business needs, which includes, but is not limited to writing documentation, communicating with systems user community, and creating reporting.

4. Acts as internal consultant to business groups, helping them to articulate HR systems data issues and then research and develop solutions. Process HR transactions into different systems that are not self-service related, and corrections on existing data.

Education & Experience:

  • Level of Formal Education: Bachelors degree or equivalent experience
  • Area of Study: Human Resources 
  • Years of Experience: Minimum 2 year experience in related field
  • Type of Experience: Human Resources

Technical Competencies:

  •  Microsoft Office ability in Excel, Word, PowerPoint, and Access
  • Oracle Fusion (mycloud)

Skills and Ability:

2 or more years of HR Systems preferably Oracle Fusion (mycloud) application experience

Strong knowledge of I-9 compliance, E-verify, state form compliance and regulations

Prior experience with vendor interactions

Strong interpersonal, verbal, and written communication skills

Ability to multi-task and successfully operate in a fast-paced work environment with a strong attention to detail

Accuracy and ability to manage highly confidential information
