Overview

The Workspace Facilities Operation Specialist will be responsible for the life cycle management and execution of all CBFS SOW and/or Acquisition accounts, programs, initiatives and sales campaigns. The scope of the Facilities Operation specialist goes beyond standard account or initiative set up or implementation, they establish and document standard processes for SOW & acquisition program execution to revenue fruition. In addition, they work closely with Workspace Facilities leadership and field selling resources to develop new execution strategies based on unique customer needs and expanding product and service offerings.

Assist in developing comprehensive computer-based decision support tools. Responsible for analysis of assigned tasks and data supporting the processing of information requests. Other duties as assigned.


Primary Responsibility:

1.Responsible for creating, developing and maintaining life cycle execution & project management models for all CBFS accounts, programs, initiatives and sales campaigns taking a proactive approach

2.Create and maintain execution project plans and templates used in the overall management of the execution lifecycle.

3.Navigate across functional teams to develop and improve custom execution programs for each individual project plan

4.Functional involvement to improve effectiveness of CBFS installations, service requests, inventory adjustments, back order queues and cross departmental involvement. Centralized organizational process that increases speed to revenue and quickly adapts to change.

5.Formalize and document an automated processes to manage the execution process and improve efficiency of execution lifecycle

6.Sales Coverage & Resource Deployment – Analyze product portfolio and service support model.  Review current sales channels and provide recommendations on most cost effective means to reach target customers and specific service needs.  Track, review and report on current deployment of service resources and product portfolios. Provide analysis and guidance on how to best serve our existing and future customer base based on marketing, product offering & product sourcing options including stock, longtail and short tail options. Manage in close cooperation with OD contract inventory control business partners  the flow of non-catalog and protected stock items to ensure adequate inventory levels are maintained, while minimizing overstock situations.

7.Competitive Analysis – Participate in examination of internal/external best practices in the areas of CBFS stocking alignment to current customer base, selling productivity, service profile and other sales & service operational functions.

8.Product assortment recomendations – Clearly define and commit to product assortments designed to quickly replace customer portfolios that lack standardization or product consolidation.

9.CBFS category positioning & improvement – Project and predict critical product assortments designed for new SOW & acquisition opportunities. New products, alternates and innovations in assortment must be maintained and inventories biometrically monitored to lower inventory risks. Unique to target vertical markets and customer segments, predictive customer trending must adjust outside of standard automated inventory algorithms. Customer feedback, seasonal spikes and one time ordering spikes will need monitoring. In addition, special order and service supplies often need ongoing manual adjustments.

10.CBFS Deviation Process Management – Responsible for maintaining and standardizing the deviation process as it relates to collecting from the BSD field selling resources, cataloging, documenting, preparing for OD deviation (Big Deal) team submission to vendor for credit. Process improvement and ownership to ensure maximum deviated price support and collection from vendor partners continually improving profitability.

Education & Experience:

Bachelors degree or equivalent experience
Service &/or Installation Industry, Maintenance, Project Management, or Business Administration
Minimum 4 years experience in related field
•Service related project management
•CBFS industry service program support
•Data anlaysis & business reporting
•Excellent verbal and written communication and presentation skills
•Solid business and project management experience preferred
•Proficient with Cognos tools, Teradata, and Oracle data warehouses
•Ability to communicate effectively across Business and Finance, Planning, Marketing, Operations, and other internal teams, lead conversations and influence others.
•Experience analyzing and reporting data in order to identify issues, trends, or exceptions to drive improvement of results and find solutions.
•Creative problem solver with proven negotiation skill set.
•Ability to sell vendors regarding placing their service with Office Depot.
•Strong analytical and problem solving skills
•Ability to conduct analysis, and make decisions under competing deadlines.
•Proficient PC skills and ability to effectively operate across multiple merchandising computer applications and programs.
•Experience interacting at the executive level.
•Extensive experience creating excel-based reports
•Experience translating customer requirements into user-friendly self-service and IT based report templates
•Familiarity with end-user data needs, in-depth understanding of data warehouse logical data models
•Strong proficiency in MS Office:  Excel, Word, PPT., Cognos, project management software, Microsoft Suite, Google Suite, SFDC, AOPS, GMil, RACE, and Various inventory control systems
•Creative problem solver.
•Strong organizational skills and attention to detail.
•Ability to multitask in a dynamic work environment and manage competing priorities.
•Highly motivated self-starter with a sense of ownership, a willingness to learn, and a strong desire to succeed.
•Positive attitude and the ability to change direction on little notice.
•Proactive approach to identifying client needs
•Experience working in an agile business environment
